Receptionist / Office Coordinator 100%, Lausanne - Switzerland

·         Greet clients and visitors with a positive, helpful attitude by respecting our security procedure (monitor logbook, issue visitor badges)

·         Answer, forward, and screen phone calls 

·         Receive, sort and distribute daily (e)mail/deliveries

·         Ensure reception area is tidy and presentable

·         Schedule appointments and book conferences rooms 

·         Maintain conferences rooms clean and ready for use during the day

·         Administrative support for the office and management (post mail, filing, personal assistance, expense reports, etc) 

·         Arrange travel and accommodations (for visitors and employees)

·         Order and manage office supplies (e.g. pens, brochures, keys & access badges, kitchen furniture’s etc) and various Office Management tasks 

·         Support colleagues for event's preparation (townhall meetings, trainings, social events, etc)

·         Coordinate French courses for employees

·         Office management task such as contact with : property management, concierge, etc.

Requirements : 

·         Previous experience in office management or as a receptionist (2-5 years)

·         Excellent command of English and French, every other language is an asset

·         Good communication skills (oral and written)

·         Desire to work in a fast growing international environment

·         Good command of usual IT tools (office)

·         Ability to work autonomously

·         Strong organisational skills with the ability to multi-task and prioritise work load, while maintaining a high level of attention to details

·         Show proactivity and logical approach to provide solutions and a proven ability to prioritise tasks.
