Event Coordinator, Lausanne - Switzerland

Support deployment of event strategy to deliver Congresses and Outreach events in EMEA/APAC Territories


  • In collaboration with Global Event team, manage and execute Commercial events for the EU & APAC territories - Congress, conferences, Worshops/Webinars – approx. 20 events per year 
  • Support and execute all logistic steps relating to the event including but not limited to

    ·               Vendor negotiation and coordination

    ·               Meeting room & onsite activities bookings

    ·               Attendees and speaker logistics

    ·               Post-event survey and feedback

    ·               Budget process and payments

  • Support and participate support kick-off and meetings for Congresses and Workshop/Webinars
  • Coordinate passing of information between different parties to deliver events in a timely manner (Mkt Ops, SCS, Sales Ops, etc.)
  • Support implementation of communication plan for all events under the direction of Congress Manager and Workshops/Webinars Manager 
  • Support Sales Ops to implement onsite training and pre-congress communication towards Sales Team
  • Support and manage onsite presence, coordinating set-up and dismantling and event lifecycle including pre-con/trainings/Networking activities/talks/Presentations/booth management, leads coordination, etc.
  • Provide input to improve processes and event strategy, event feedback
  • Manage relationship with Congress organizers and agencies to help deliver events
  • Manage event stock material (flyers, brochures, roll-ups, goodies, etc.) and coordinate with Mkt Ops for refill
  • Assist Global Event team with other specific Marketing/ Corporate activities
  • Ensure event compliance with all corporate and government policies
  • Travel to specific Congresses and Corporate events to manage onsite activities

  • Fluent in English mandatory, any other language is an asset
  • Professional, clear communication skills, both written and verbal – Multilingual skills are desirable but not required.

Required Experience

  • Bachelor’s Degree in marketing or any other relevant field
  • From 1 to 2 years’ experience in congress management, coordinating and executing events from conception to completion, in a healthcare company would be a plus
